Job Description

Overview

The WFD/CCS Office Assistant at Clover Park Technical College supports the mission of educating the workforce by providing customer service and administrative support for Workforce Development and Career & Community Services activities. The role involves triaging inquiries, maintaining records, and assisting with various projects to enhance student success and community engagement.

Responsibilities

  • Greet visitors to Workforce Development and Career & Community Services offices.
  • Triage student, employer, and community partner needs and refer to appropriate services.
  • Serve as a point of contact for employer and industry inquiries related to student employment.
  • Respond to inquiries from WorkSource and workforce partners and assist with scheduling appointments.
  • Coordinate referrals and communications related to employer and workforce partners.
  • Assist students with scheduling appointments with WFD and CCS staff.
  • Answer multi-line phones and manage voicemails and emails.
  • Manage the college job board and respond to inquiries related to job postings.
  • Assist with implementation of various eligibility programs by providing information to students.
  • Build and maintain professional relationships with instructors, staff, students, and employers.
  • Prepare intake application materials and maintain outreach materials.
  • Review and maintain student files and records in compliance with grant standards.
  • Participate in professional development and equity, diversity, and inclusion efforts.
  • Assist with data reporting and attend department meetings.
  • Conduct college outreach as appropriate.

Requirements

  • High School Diploma or equivalent.
  • Six months of clerical/administrative assistant work experience.
  • Proficient with Microsoft Office Suite and Microsoft Teams.
  • Ability to multitask in a busy office environment.
  • Excellent oral and written communication skills.
  • Show initiative and use good judgement.
  • Ability to contribute to diversity and multicultural understanding.
